Client Services Agreement

This Client Services Agreement explains how TX Jackson Travel works with clients throughout the vacation-planning, booking, and preparation process. Its purpose is to establish clear expectations, responsibilities, communication practices, and next steps.

In this agreement:

The primary client accepting this agreement must be at least 18 years old and must have authority to request planning or booking services for any travelers they represent. The client is responsible for obtaining any permission needed before providing information, approving arrangements, or making decisions on behalf of another traveler.

  • “Client” means the primary traveler who accepts this agreement and any travelers that person is authorized to represent.
  • “Travel supplier” means a cruise line, resort, hotel, tour operator, airline, transportation provider, insurance provider, or other third party that provides or controls part of the trip.

TX Jackson Travel provides personalized vacation-planning and booking assistance based on the client’s stated goals, preferences, desired experiences, travel style, budget, timing, and practical needs.

TX Jackson Travel does not offer standalone airfare booking. Airfare assistance is available only when airfare is part of a complete vacation package.

Specific services may vary depending on the trip, supplier, client needs, and services the client asks TX Jackson Travel to provide.

TX Jackson Travel acts as an independent travel advisor and assists clients with planning and coordinating travel arrangements.

The actual travel services are provided by third-party travel suppliers. Those suppliers control their own availability, pricing, schedules, inventory, accommodations, transportation, policies, cancellation terms, refund decisions, service standards, operations, and performance.

TX Jackson Travel does not control or guarantee a supplier’s performance, facilities, transportation, staffing, schedules, product descriptions, service quality, or operational decisions.

Unless separately agreed in writing, TX Jackson Travel does not continuously monitor airline flights or other transportation in real time, provide 24-hour or emergency-response monitoring, guarantee supplier performance or travel outcomes, verify that a traveler’s passport, visa, identification, or other documentation is legally sufficient for travel, provide legal or medical advice, guarantee admission, or guarantee pricing or availability before the applicable supplier confirms the reservation.

TX Jackson Travel may assist the client with locating information or identifying the appropriate supplier or official source, but the final requirements and decisions remain with the organization that controls them.

TX Jackson Travel helps the client evaluate options, make informed choices, and coordinate approved reservations.

Cruises, resorts, hotels, tours, transportation, insurance, and other travel services are ultimately fulfilled or administered by third-party travel suppliers.

A supplier’s terms and conditions may apply in addition to this agreement. The client is responsible for reviewing applicable supplier terms provided with a proposal, reservation, invoice, confirmation, insurance policy, or other travel document.

The client does not pay TX Jackson Travel a separate planning or booking fee for the vacation-planning services covered by this agreement.

When eligible travel is booked through Zach Jackson, TX Jackson Travel may be compensated by the applicable travel supplier through the Atlas Coast Travel Group host-agency relationship.

Not every travel supplier or trip component necessarily pays compensation, and compensation arrangements may vary.

Recommendations are based on the client’s goals, preferences, budget, travel style, practical needs, and supplier fit. TX Jackson Travel does not select a recommendation solely because it may pay a higher commission.

This agreement does not guarantee that a quoted option is the lowest price available from every possible source.

Travel pricing and availability may change until a reservation is booked and confirmed by the applicable travel supplier.

TX Jackson Travel will communicate the pricing, availability, and known deadlines available at the time of the proposal or booking. The client should review those details before authorizing a reservation.

If a supplier, system, or clerical error is discovered in a quote, proposal, invoice, confirmation, or other trip information, TX Jackson Travel will communicate the correction as soon as reasonably practical. A clearly erroneous price, date, description, or other detail does not override the applicable supplier’s actual confirmed record or terms. If a correction materially affects an unconfirmed option, the client may decide whether to proceed with the corrected information. If the reservation has already been confirmed, any available correction or remedy remains subject to the applicable supplier’s rules and circumstances.

  • Availability is not guaranteed until confirmed by the supplier.
  • Deposits may be required to secure reservations.
  • Deposit amounts and final-payment dates are established by suppliers.
  • Promotions and discounts may expire or change.
  • Taxes, fees, exchange rates, supplier actions, and other provider-controlled factors may affect price.
  • A requested room, cabin, itinerary, transportation option, or other component is not guaranteed until confirmed.

TX Jackson Travel may provide reminders and general guidance, but the client remains responsible for satisfying requirements that apply to the traveler or reservation.

Unless another arrangement is documented, TX Jackson Travel will rely on the primary client for material booking instructions, approvals, changes, and cancellations. The primary client may identify another traveler or person who is authorized to make specified booking decisions. TX Jackson Travel may pause action when conflicting instructions are received until the authorized decision-maker is clarified.

  • Making sure each traveler’s name is supplied exactly as it should appear on the applicable identification or passport
  • Reviewing proposals before approving a booking
  • Reviewing invoices, booking confirmations, and supplier documents promptly
  • Reporting errors or unexpected details as soon as they are discovered
  • Making required deposits and final payments by supplier deadlines
  • Reviewing and following supplier terms and policies
  • Obtaining required travel documentation
  • Verifying current entry and travel requirements
  • Informing TX Jackson Travel promptly of requested changes
  • Reviewing written summaries of important decisions or conversations
  • Asking questions whenever an item is unclear

TX Jackson Travel will book travel only after the applicable trip option or proposal has been approved through the established booking process.

Pricing, availability, deadlines, and other supplier-controlled information may be rechecked before a reservation is completed.

After the supplier confirms a reservation, TX Jackson Travel will provide a booking confirmation or booking summary using the information available from the applicable supplier.

The client must carefully review the booking information and notify TX Jackson Travel promptly if anything appears incorrect or different from what was approved.

TX Jackson Travel may ask the client to reply in writing confirming that the booking details have been reviewed and appear correct.

Prompt written confirmation creates a clear record for both the client and TX Jackson Travel and provides the best opportunity to address an issue before additional supplier penalties, restrictions, or deadlines may apply.

TX Jackson Travel is responsible only for travel components it agrees to plan, book, or service.

If the client purchases airfare, accommodations, excursions, transportation, travel protection, or other travel arrangements independently or through another provider, the client is responsible for managing those arrangements directly with the applicable provider.

TX Jackson Travel may assist with independently booked arrangements when practical, but cannot guarantee changes, refunds, support, monitoring, or coordination for reservations it does not service.

The client should consider how independently booked components interact with the rest of the itinerary, including connection times, embarkation requirements, transportation schedules, cancellation terms, and other timing or operational risks.

TX Jackson Travel may, when appropriate, assist with a request to transfer or assume servicing responsibility for an existing reservation originally booked directly with a travel supplier or through another permitted channel.

A transfer request is not a completed transfer. The applicable travel supplier controls whether a reservation is eligible for transfer, what documentation or timing rules apply, and when servicing responsibility changes.

TX Jackson Travel cannot guarantee that a supplier will approve a transfer or that existing pricing, promotions, amenities, onboard credits, dining arrangements, insurance, payment terms, or other reservation features will remain unchanged as a result of supplier processing.

TX Jackson Travel is not responsible for errors, omissions, payment issues, missed deadlines, or other conditions that existed before TX Jackson Travel accepted servicing responsibility for the reservation, except to the extent responsibility cannot legally be limited.

After a transfer is completed, the client must promptly review the supplier confirmation and other booking details and notify TX Jackson Travel of any discrepancy.

If a client makes a material change directly with the supplier after TX Jackson Travel becomes the servicing advisor, the client should promptly notify TX Jackson Travel. Direct supplier changes may affect pricing, promotions, payment deadlines, cabin or room assignments, insurance, or other trip details, and TX Jackson Travel cannot reliably monitor or document a change it has not been told about.

Material change requests should be submitted or confirmed in writing. A client request does not mean that the change has been completed.

Requested changes remain subject to supplier approval, availability, current pricing, supplier fees, cancellation penalties, promotion rules, and other applicable supplier terms.

When practical, TX Jackson Travel may confirm a material requested change in writing before taking action and provide written confirmation after the applicable supplier has processed or declined the request.

A change is not final until the applicable travel supplier confirms it.

Cancellation and refund rules are established by the applicable travel supplier.

Some deposits or payments may be nonrefundable from the time they are paid. Other reservations may become partially or fully nonrefundable as travel approaches.

TX Jackson Travel will communicate known supplier cancellation information and may assist the client with requesting a cancellation, but TX Jackson Travel cannot waive or override a supplier’s cancellation policy.

Any refund, travel credit, penalty, retained deposit, or other financial outcome is determined by the applicable supplier’s terms and circumstances.

Unused or voluntarily missed trip components do not automatically create a refund or credit. Any refund or credit for an unused component remains subject to the applicable supplier’s terms and the circumstances of the reservation.

The client should not rely on a general cancellation assumption for a specific booking. The applicable supplier policy for that reservation should be reviewed before a cancellation decision is made.

Travel protection and supplier cancellation policies are separate.

A supplier cancellation policy determines what happens to the reservation when travel is changed or canceled. Travel insurance or another travel-protection product may provide benefits for certain covered events, subject to the actual policy terms.

Travel-protection options may be presented through Atlas Coast Travel Group or an applicable insurance provider.

TX Jackson Travel does not guarantee that a particular loss, cancellation, delay, medical event, or other circumstance will be covered.

TX Jackson Travel may explain general types of travel protection and provide access to available options. Questions about whether a specific policy is appropriate for a client’s individual circumstances or whether a specific event is covered should be directed to the insurance provider or other appropriately licensed resource.

Travel protection should be considered promptly because some benefits or options may depend on when coverage is purchased.

If a client declines travel protection, Atlas Coast Travel Group may require the client to complete its official travel-protection acknowledgment or decline process. Any required decline or acknowledgment is handled through the applicable Atlas Coast Travel Group process and is separate from this Client Services Agreement.

13. Passports, visas, identification, and entry requirements

Each traveler is responsible for determining and satisfying the travel-document and entry requirements that apply to that traveler and itinerary.

Passport-validity rules vary by destination. Some destinations require a passport to remain valid for a specified period beyond the dates of travel.

Visa, entry, identification, health, and minor-travel requirements may also vary according to citizenship, residency, age, itinerary, transportation method, destination, and supplier. Requirements can change.

TX Jackson Travel may provide general reminders or direct clients to official information sources, but does not guarantee the sufficiency or accuracy of a traveler’s documentation.

Clients should verify current requirements through authoritative sources applicable to their circumstances, including appropriate government authorities and applicable travel suppliers.

TX Jackson Travel is not responsible for a traveler being denied boarding, transportation, entry, or participation because required documentation or eligibility requirements were not satisfied, except to the extent responsibility cannot legally be limited.

Health, vaccination, destination-entry, and travel-advisory requirements can change.

TX Jackson Travel may direct clients to public health, government, destination, or supplier resources for current information.

TX Jackson Travel does not provide medical advice and cannot determine whether a vaccine, medication, medical accommodation, or health-related travel decision is appropriate for an individual traveler.

Travelers should consult appropriate medical professionals and official authorities when medical guidance is needed.

Clear written documentation helps both the client and TX Jackson Travel maintain an accurate record of the trip.

Important decisions, approvals, requested changes, supplier updates, and other material information may be documented by email or another approved written method.

When an important conversation takes place by phone or in person, TX Jackson Travel may send a written summary afterward.

The client should review any written summary and promptly notify TX Jackson Travel if the summary does not accurately reflect the discussion or decision.

Written records may be retained as part of the trip history.

Email is the primary communication method for TX Jackson Travel.

By accepting this agreement and providing electronic contact information, the client agrees that ordinary trip communications, booking information, reminders, notices, requests for review, and other travel-related records may be delivered electronically to the contact information provided, unless another method is specifically agreed upon.

The client is responsible for maintaining current contact information and reviewing travel-related communications, including messages that may require action before a supplier deadline.

Phone consultations are available by appointment when a conversation would be helpful; contact details can be provided when appropriate.

Use of the business phone does not create 24/7 availability, emergency-response monitoring, same-day response guarantees, continuous flight monitoring, or unscheduled telephone availability.

If an urgent issue occurs during travel, the applicable travel supplier or emergency service may be the appropriate first contact depending on the circumstances.

Payments and sensitive information must be handled through approved secure channels such as the applicable travel supplier, Atlas Coast Travel Group, a supplier payment link, an approved secure portal, or another approved secure system.

Clients should not send sensitive information through regular email. TX Jackson Travel will not request that clients send Social Security numbers, full credit-card numbers, passport images, or sensitive booking credentials by regular email.

Clients should also avoid placing sensitive information in unsecured forms or messages unless specifically instructed to use an approved secure system.

If a client believes a travel-related charge is incorrect, the client should promptly contact TX Jackson Travel so the matter can be reviewed with the applicable travel supplier before initiating a payment dispute or chargeback when reasonably practicable.

Initiating a payment dispute or chargeback does not itself cancel a reservation, modify the applicable travel supplier’s cancellation or refund terms, or create a right to a refund that is not otherwise available under the applicable supplier’s terms.

The client remains responsible for amounts properly due under the applicable supplier’s terms, subject to applicable law.

Client information is used as reasonably necessary for vacation planning, proposal development, reservations, supplier coordination, travel preparation, trip communication, and related service administration.

Information may need to be shared with Atlas Coast Travel Group, travel suppliers, or approved service providers when necessary to provide the requested travel services.

Sensitive documents and data should remain in approved secure systems. TX Jackson Travel’s internal operating records may retain status information, references, or secure links rather than unnecessary copies of sensitive information.

Travel can be affected by events that TX Jackson Travel does not control, including weather, natural disasters, government actions, border or immigration decisions, public-health events, political events, labor disruptions, transportation delays or cancellations, supplier schedule changes, supplier operational decisions, supplier financial problems, and other unforeseen circumstances.

When an issue occurs, TX Jackson Travel may help the client identify the applicable supplier, policy, insurance resource, or available next step.

The client’s available options may depend on supplier terms, insurance coverage, availability, government requirements, and the circumstances involved.

This section explains the practical limits of TX Jackson Travel’s role and is not intended to excuse TX Jackson Travel from responsibilities that legally apply to the professional services it agrees to provide.

This agreement may be accepted electronically.

By accepting this agreement, the client acknowledges that the client has had an opportunity to review the agreement and ask questions, is at least 18 years old and has authority to accept this agreement for the services requested, understands that supplier terms may also apply to individual reservations, agrees to provide accurate traveler information, agrees to review booking information and supplier terms provided for the trip, and agrees to receive ordinary trip communications and notices electronically at the contact information provided, subject to any separately agreed communication method.

TX Jackson Travel may retain an electronic record showing the version of the agreement accepted, the date and time of acceptance, and other reasonable evidence of acceptance.

Acceptance of this agreement does not itself confirm a supplier reservation.

TX Jackson Travel may revise this agreement as business practices, supplier processes, technology, or other requirements change.

A revised agreement does not automatically replace the version previously accepted for an existing trip unless the client is specifically asked to accept the newer version.

The version associated with the client’s acceptance should remain identifiable in the trip record.

By signing or electronically accepting below, the client acknowledges that they have read and understand this Client Services Agreement and have had an opportunity to ask questions before accepting it.
